Documents and drawings
Store project files in Documents with folders, versions, check-out and folder permissions. Manage drawing revisions and sets, mark up sheets, compare revisions, and keep the spec book in Specifications.
On this page
Three tools hold the project’s paper: Documents for files of any kind, Drawings for the sheet set and its revisions, and Specifications for the spec book. Open each from the project’s Project Tools menu.
Documents
Documents is a folder tree for the project’s files: contracts, reports, closeout, anything that isn’t a drawing or a spec section.
- Folders. + New Folder creates a folder in the one you’re in; check Private to keep it to the people you grant. The folder list on the left and the breadcrumbs move you around.
- Upload. Upload File adds a file to the current folder, with an optional description.
- Versions. New Version uploads a replacement and keeps the old one. Version History lists every version with who uploaded it, when, its size and notes, and each version can be downloaded.
- Check out and in. Check Out locks a file while you work on it; others see it as checked out. Check In releases it, optionally with a new version and version notes.
- Folder permissions. Permissions on a folder or file grants a person View, Upload or Edit access to it, on top of their Documents permission level. See Permission templates.
- Rename, delete and restore. Rename changes a file or folder name. Move to Recycle Bin removes it; it can be restored from the Recycle Bin.
- Open and download. Open a file to view it in the browser or download the original.
Drawings
The Drawings tool keeps the current sheet set and every revision behind it.
Upload drawings
Click Upload. Enter the Drawing Number (for example A-103), Drawing Title, Revision Number, Discipline, Drawing Area, Drawing Set, Drawing Date and Received Date, and attach the Original PDF. You can also create a drawing with its details and no file yet.
Sheet numbers and titles are entered by you. The app doesn’t read title blocks from the PDF.
The sheet index
The drawing list shows Sheet No., Sheet Title, Revision, Discipline, Area, Drawing Date and Received. Search by number or title, and filter by discipline or area. Add your own disciplines and areas (for example East Wing) with Add Discipline and Add Area.
Revisions
On a drawing, Upload Revision adds a new PDF with its revision number, title, date and set. The newest revision becomes current; earlier ones are kept, and you can Open original PDF or Download original PDF for any of them. Compare Revisions puts two revisions side by side (Revision A and Revision B, with a swap control) so you can see what changed.
Markup
Mark up a sheet in the browser. The tools are Select, Pin, Rectangle, Cloud, Ellipse, Line, Arrow, Freehand, Text, Measure and Calibrate Scale, with a color and stroke width. Markups go on the Published layer that the team sees or your Personal layer. They are registered to a page of the revision’s original PDF. Zoom, rotate and page controls sit beside the markup tools.
Sets
A drawing set groups sheets issued together, for example an addendum or a bulletin. Create Drawing Set with a Set Name and Set Date. A set starts as Draft; Submit for Review moves it to In Review, and Return to Draft sends it back. Inside a set, each sheet shows whether its revision is current or superseded.
Links
RFIs and submittals link to drawings from their Linked Drawings cards, and coordination issues can point at a drawing. See RFIs and Submittals.
Specifications
Specifications holds the spec book by division and section. Upload a section’s PDF with its Division, Section Number, Description, Revision, Set, Issued Date and Received Date; create a division on the way if it doesn’t exist yet. Group uploads into an issue set with Create Set.
Each section keeps its revisions. Upload PDF Revision makes the new one current; earlier originals stay in the revision history and you can compare revisions. A section’s page lists the RFIs and submittals that reference it, and submittals can be generated from spec sections in the Submittals tool.
Downloads and export
Original files download from Documents, Drawings and Specifications. For everything else you can export, see Export to CSV and PDF.
